How we collect, use, store, and protect your personal information — in plain language and in line with Canadian privacy law.

1. Who we are

This Privacy Policy applies to PhysicianMortgage.ca (physicianmortgage.ca), a desk of Mortgage Guru Financial, and to Ramin Hallaji-Dezfouli as a licensed broker — in British Columbia under Mortgage Guru Financial (BCFSA), and in Alberta under Dominion Lending Centres A.I.M.I. Collective Mortgage Group (RECA). Together we are referred to in this policy as "we," "us," or "the desk." We handle your personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia's Personal Information Protection Act (BC PIPA).

2. What we collect

We only collect personal information you choose to give us through this website. Depending on how you get in touch, this may include:

Contact and inquiry details: your name, email, phone number, and anything you choose to tell us about your situation, property or file.
Technical data: basic device and browser information and IP-level metadata, used for security, spam prevention, and keeping the site running.
Cookies and local storage: a small number of essential entries are always used to make the site work — your display and reading preferences, form security, and your cookie choice where this site offers one. We set no analytics, advertising or third-party tracking cookies.
Visit measurement: our hosting platform records anonymous, aggregate statistics — which pages were viewed, roughly which country a visit came from, the device type, and whether a visitor arrived from a search engine. This happens on the server, sets no cookie, and holds nothing that identifies you personally. It is how we know which pages and tools are actually useful.

We do not collect your SIN, banking credentials, or sensitive financial documents through this website. Anything required for an actual mortgage application is collected separately through secure, regulator-compliant lender and brokerage systems — not this site.

3. How we use it

We use your information solely for mortgage business operations, including:

Responding to your inquiry and following up about your file;
Providing mortgage brokering services through the appropriate licensed brokerage — Mortgage Guru Financial in British Columbia, Dominion Lending Centres A.I.M.I. Collective Mortgage Group in Alberta, or a co-brokering licensed brokerage in Ontario and Saskatchewan where Ramin stays fully involved;
Meeting our legal, regulatory, compliance and recordkeeping obligations under PIPEDA, BC PIPA, BCFSA, RECA and FINTRAC rules;
Keeping the website secure — preventing spam, abuse and unauthorized access.

We do not sell your personal information, and we do not share it with third parties for their own marketing. It is collected, used and disclosed only as described here — including where a licensed brokerage or service provider is required to handle your application, such as the co-brokering brokerage that places and funds Ontario and Saskatchewan files.

4. Where it is stored

Form submissions are stored in our managed backend, encrypted in transit (TLS/HTTPS) and at rest. Access is restricted to Ramin Hallaji-Dezfouli and authorized brokerage staff who need it to serve you. Data may be processed on servers inside or outside Canada by our infrastructure providers; in all cases it remains subject to this policy and to Canadian privacy law.

5. How long we keep it

Inquiries that do not become a file: kept up to 24 months, then deleted or anonymized.
Mortgage clients: retained for the period required by BCFSA, RECA, FINTRAC and lender agreements — typically 6 to 7 years from the last transaction — then securely destroyed.
Security and access logs: short-term retention for fraud prevention and audit purposes.

6. Your rights

Under PIPEDA and BC PIPA, you have the right to:

Ask what personal information we hold about you;
Request a copy of that information;
Ask us to correct information that is inaccurate;
Withdraw consent or ask us to delete your information, subject to our legal and regulatory recordkeeping obligations.

To make any of these requests, email ramin@mortgageguru.ca. We will respond within 30 days, as required by law.

7. Security

We use reasonable administrative, technical and physical safeguards, including HTTPS encryption, access controls, server-side input validation and anti-spam measures. No system is perfectly secure — if we ever become aware of a privacy breach that creates a real risk of significant harm, we will notify affected individuals and the Office of the Privacy Commissioner as required by law.

8. Children

This website and our services are intended for adults (18+). We do not knowingly collect personal information from children.

9. Changes to this policy

We may update this policy from time to time. The effective date at the top reflects the most recent revision, and material changes will be highlighted on this page.
